FAQ's

Real estate professionals and investors often have similar questions about transaction coordinator services. Here are some of the most frequently asked questions we receive.

All Frequently Asked Questions

1. How can agents make sure their clients don’t feel neglected while working with a TC?

It’s all about setting the right expectations up front. Agents should let clients know they have a transaction coordinator working with them to make sure everything surrounding the contract is on point, and that the agent is still monitoring the deal and remains the main point of contact. This eases anxiety from the start and reassures clients that a whole team is helping them along the way.

2. How does the agent keep up with the progress of their transactions?

As a client of Freedom Transaction Services®, all communication is sent to the investor, the agent, and their clients. Files are updated daily, so you always know where things stand in the process.

3.  What happens if a file is canceled?

With flat fee monthly billing, there are never termination fees for canceled files. Your monthly fee covers both closed and terminated files. Freedom Transaction Services® also offers per-transaction billing, which includes a 10% termination fee to cover the work already completed on the file.

4. How do we know our information is confidential?

We take the privacy and security of your information very seriously. Client data is handled with strict confidentiality and accessed only by authorized team members directly involved in your file. We use secure systems and protected document-sharing tools at every stage, and we follow industry best practices so your personal and transaction details stay protected.

6. Can you customize your services to my workflow?

Yes, within reason. If there’s something we can’t accommodate, we’ll tell you up front. Each client signs a 6-month agreement, and anything additional you need beyond the standard agreement is added before all parties sign.

8. When should a TC be brought into the transaction?

Bring Freedom Transaction Services® in as soon as you have a signed agreement with the buyer or seller. That way we can start right away, make sure every party knows who we are and the role we play, and gather everything needed to set the transaction up for success from day one.

10. How much does a transaction coordinator cost?

For wholesalers and investors, Freedom Transaction Services® charges $450 per closing, or flat monthly plans starting at $3,000 for 1–5 closings per month. Agents pay one flat fee per file, whether on the listing or buying side. All plans are based on a 6-month service agreement. See our Costs page for full pricing.

5. What parts of the transaction do you handle?

We manage the entire transaction coordination process from executed contract through closing. That includes tracking deadlines, coordinating with lenders, title, and other vendors, reviewing documents for completeness, scheduling inspections and closings, and keeping all parties informed. Negotiations and contract drafting remain the responsibility of the agent.

7. What makes Freedom Transaction Services® different from other TC companies?

Our founder and CEO, Michelle Gabrielse, has 6+ years of experience and has coordinated more than 1,000 transactions for real estate agents, wholesale investors, and individual buyers and sellers. We work in all 50 states and with every party in the deal. We’re with you every step of the way, from setting up inspections to locating survey companies, soil testing companies, title companies, closing attorneys, and everything in between.

9. What is a transaction coordinator?

A transaction coordinator (TC) manages the administrative side of a real estate deal from executed contract to closing: tracking deadlines, collecting documents, coordinating with title, lenders, and inspectors, and keeping everyone updated. Freedom Transaction Services® provides transaction coordination for real estate agents, wholesalers, and investors nationwide.

11. Do you work with wholesalers and investors?

Yes. Wholesalers and investors are a large part of our client base. We coordinate assignment and double closing transactions and work with title companies and closing attorneys across all 50 states. Flat monthly plans are available for consistent deal volume.

12. How and when do I pay?

Payment is made directly by the title company at closing, or by the agent or client.

13. What are your office hours and response times?

Our office hours are 7 a.m. to 4 p.m. Central, Monday through Friday. Emails received by 4 p.m. are answered the same business day.
